Case Study: Scaling a Learning Programme Under Tight Deadlines

Overview

I led the design and delivery of a large-scale, MaPS-accredited learning programme to support organisational capability in delivering advice services.

The programme now supports over 3,700 learners and continues to evolve through ongoing iteration and improvement.

The Problem

The organisation needed to rapidly deploy a structured learning programme to meet accreditation requirements and support service delivery.

Key challenges included:

  • Tight delivery timelines
  • Complex, content-heavy subject matter
  • Need for compliance and accuracy
  • Large and diverse learner audience

My Approach

Given the time constraints, I made the decision to adopt a minimum viable product (MVP) approach.

Rather than delaying for a fully polished solution, I:

  • Prioritised speed to launch
  • Focused on essential content and structure
  • Prioritised speed to launch
  • Planned for phased improvement post-launch
  • I worked closely with SMEs and stakeholders to ensure the initial version met compliance needs while remaining usable.

What I Delivered

  • A fully structured learning programme hosted on the LMS
  • Initial MVP version using text-based content to meet deadlines
  • A phased roadmap to evolve content into interactive digital learning
  • Coordination of a small team of contractors to support development
  • Integration into existing LMS pathways and reporting structures

Impact

  • 3,700+ learners enrolled
  • 2,500+ completions
  • Improved learner ratings from 3.4 to 4.2 stars within 7 months
  • Successfully transitioned from MVP to fully interactive learning over 8 months

Reflection

This project reinforced the value of balancing speed and quality in learning design.

Launching early allowed us to meet business needs while gathering real user feedback, which directly informed improvements. The iterative approach not only improved learner satisfaction but also built stronger stakeholder trust over time.

It also highlighted the importance of designing for scalability—ensuring that content, structure, and systems could support a growing learner base without compromising quality.

My Approach

  • Designed a standard framework (incorporating WCAG 2.1)
  • Introduced guidelines and templates

Subtitle Video Tutorial (Learning Team Edit)

This is the directors cut of the tutorial. It includes humour and music during playback. The cut for the network excludes the intro, outro and music. Initially developed exclusively for external teams, but was so well adopted, it became the standard.

Accessibility Implementation Tutorial (Learning Team Exclusive)

This tutorial was the first of its kind. I created an accessibility framework that was adopted into standard practice and was able to be retrofitted.


Middle section obscured intentionally to protect privacy.

Connect Telephony Video Training Tutorial (External Contractors)

I was the project lead responsible for creating training materials for the then, new, Connect Telephony platform. I decided to create software/ project templates and this tutorial – to ensure uniformity amongst myself and external contractors I was managing for this project.

Citizens Advice History (Pre-Employment Project)

I decided to make this video (along with an interactive course in SCORM format) to support my application when first applying for a position at Citizens Advice. I created the video using publicly available resources. My application was successful and I’ve been working for the organisation since 2020.

Competencies Video

The team were getting a lot of tickets from the network regarding competencies and giving pushback. I made this video to explain the process behind competencies and why they are important. The video was published on the intranet and linked to in various comms/ documents throughout the network.

What is discrimination (Beta build)

Discrimination is a very sensitive subject. I decided animation was the best format to present the information. I could depict scenarios that would otherwise be very costly and time consuming to create with real actors. Working iteratively, scenarios and characters could quickly be replaced based on feedback from the EDI team and/ or local offices.

This video is 1 of 30. I asked friends, family and co-workers to portray the clients – using AI to generate unique characters and scene that support the story. The still images used were above an MVP but fell short of the best case scenario as I wanted to create video, using AI tools. Time, money and organisational priorities were considered during this project.

Building Foundations in Instructional Design

Overview

My role at The AA marked my transition into instructional design within a regulated environment.

Starting in a customer-facing role, I progressed into a Junior Instructional Designer position, where I developed core skills in learning design, stakeholder collaboration, and digital content production.

Key Contributions

  • Designed and developed digital learning solutions aligned to business and regulatory needs
  • Conducted learning needs analysis and defined objectives and success measures
  • Created storyboards and learning content for digital delivery
  • Collaborated with SMEs to ensure accuracy and compliance
  • Published SCORM-compliant courses to LMS platforms
  • Seconded into role after identifying patterns from the public and developing a video solution to address the issue


This experience built my understanding of how structured learning design supports real-world performance, particularly in high-stakes environments.

AA App Video Tutorial (Seconded to L&D)

I noticed a gap in customer knowledge regarding the AA app, specifically member benefits. I decided to make this video tutorial (at home) and pitch it to the organisation as a way to support end users. Management were impressed with my efforts and I was seconded from customer service to the L&D department. This is where I was introduced to formal L&D processes and learned about instructional design.

AA Self Help Video (Before & After Comparison)

I was responsible for creating prototype, bite-sized, self-help videos. The project was called Buzby. I made this comparison video to highlight the importance of editing footage and adding foley sound, to enhance the finished product. I created a number of templates, a sound bank and provided documentation to distribute to the team to streamline production. The result was the creation of an established process to efficiently scale up production.

This video is one in a series of prototype videos I created under the title “Project Buzby” – a bite-sized, self-help video series to help customers triage car problems on their own, with the intention of reducing the number of call outs for minor issues.

Overview

Before moving fully into L&D, I ran a small media production business specialising in Wedding videography.

This experience developed my ability to manage projects end-to-end, work closely with clients, and produce high-quality digital content under pressure.

Key Contributions

  • Delivered full-scale projects from planning through to final production
  • Managed client relationships and stakeholder communication
  • Developed strong storytelling and visual communication skills
  • Handled all aspects of business operations, including budgeting and planning

This background continues to influence my work today, particularly in how I approach engagement, design, and user experience in learning.
